2. What personal data do we process?
Depending on your contact with Inducoat, we may process the following data:
- name, company name, position and industry;
- email address, telephone number and other contact details;
- the content of your message, request or correspondence;
- information about a project, location, surface, problem or current working method that you provide yourself;
- data surrounding a requested audit, knowledge session, SchimmelZeker or EcoZeker session, Test & Trust application, trial area, kit or Lunch & Learn registration;
- input and results of a calculation that you request via the website;
- customer, quotation, order, delivery and invoice data when a business relationship arises;
- technical data such as IP address, browser, device, page visited, referring source, date and time, as far as the website or security logs record it;
- your cookie preferences and consent registration.
When you submit a form, the route to that form can also be linked to the submission, such as pages visited, times and the referring source, only if the required Cookiebot consent has been given.
3. For what purpose and on what basis do we use data?
- Contact and requests: to answer your question, assess a request and coordinate the desired appointment, session, audit, delivery or next step. We do this to take steps at your request before an agreement, to execute an agreement or based on our legitimate interest to properly handle business requests.
- Services and administration: to carry out quotations, orders, deliveries, invoices, service and business relationships and to comply with legal administration and retention obligations.
- Website, security and improvement: to ensure the technical functioning of the website, to prevent misuse and – when permission is required – to understand how the website and forms are used.
- Marketing: We do not automatically use data from an application form for newsletters or other separate marketing emails. We only do this after separate, voluntary consent or if another legal basis allows this in the specific situation. You can always unsubscribe.
- Cookies and external media: non-necessary cookies, pixels and external media are only used according to your choice in Cookiebot.
4. Mandatory and voluntary data
We need fields that are indicated as mandatory in a form in order to process the relevant application or registration. You provide other information voluntarily. Without the necessary contact or request information, we may not be able to fulfil your request.
5. With whom do we share personal data?
We do not sell personal data. We only share data when necessary for the stated purpose, for our business operations or when required by law. We can use:
- our hosting, website management and security providers;
- WordPress and Formidable Forms for website forms and submissions;
- Google for the technical sending and receiving of website emails;
- Cookie bot for cookie preferences, consent and the cookie statement;
- business service providers such as accountants, consultants, carriers or executive partners when this is necessary for an assignment;
- services for statistics, external media, social platforms and business visitor analysis, only to the extent that they are actually enabled and your cookie choice allows this.
Depending on your cookie choice, services from Leadinfo, Microsoft, Meta, Google and YouTube, LinkedIn, Vimeo and mypopups can be used on the website. The current Cookiebot cookie statement shows which services and cookies are actually active, with their purpose and retention period. Leadinfo may link a business IP address to public business information to show which organization is visiting the website; this is not intended to identify individual visitors.
We make appropriate agreements about security and confidentiality with suppliers who process personal data on our behalf.
6. Processing outside the European Economic Area
Some technical suppliers may process data outside the European Economic Area. In that case, we will only use a permitted transfer ground, such as an adequacy decision or standard contractual clauses approved by the European Commission, and additional safeguards where necessary.
7. How long do we store data?
- We retain contact, request and form data for as long as necessary to process the request and provide reasonable business follow-up. If no agreement or dispute arises, we will delete this data no later than two years after the last substantive contact;
- We store data from a one-off registration no later than one year after the relevant meeting, unless they become part of a broader business relationship;
- We store quotation, order, customer, invoice and payment data for as long as the business relationship continues and thereafter in accordance with the applicable statutory retention periods, usually seven years for tax administration;
- We do not store technical security logs longer than necessary for security and error investigation and in principle for a maximum of twelve months, unless an incident requires longer investigation;
- cookie and consent data follow the terms stated in Cookiebot and the current cookie statement.
Data may be kept longer if a legal obligation, complaint, investigation or legal dispute requires it.
8. Security
We take appropriate technical and organizational measures to protect personal data against loss, unauthorized access, alteration and misuse. Access is limited to persons and suppliers who need the data for their work.
9. Your Privacy Rights
You can request us to:
- access to your personal data;
- correction of incorrect or incomplete data;
- deletion of data when there is a legal basis for doing so;
- restriction of processing;
- transfer of data, where the right to data portability applies;
- objection to processing based on a legitimate interest or to direct marketing;
- withdrawal of your consent. This has no retroactive effect.
Send your request to info@inducoat.com. In principle, we will respond within one month. To prevent abuse, we may ask you to confirm your identity appropriately.
If you are not satisfied with the treatment of your data, please contact us first. You also have the right to file a complaint with the Dutch Data Protection Authority.
10. Automated decision making
Inducoat does not make any decisions via the website that are based solely on automated processing and that have legal effects or similar significant effects on you.
11. Cookies
Cookiebot manages the cookie banner, your consent choices and the separate cookie statement. This states the purpose, provider and retention period for each cookie or service and you can change or withdraw your consent. The cookie statement will be added as a separate website page once Cookiebot has been configured for the new website.
12. Changes
We may adjust this privacy statement if our website, services or legal obligations change. The most recent version is always on this page.
